Start with agreement on the budget and dates, then choose a destination. Choosing the trip first and asking people to catch up financially often creates avoidable changes later.
Agree an all-in budget per person
Include flights or road travel, accommodation, transfers, meals, activities and personal spending. Ask each person privately what they can comfortably afford. A package estimate is not automatically the complete holiday cost.

- Preferred month and flexibility on exact dates.
- Number of adults and children, with children’s ages.
- Departure airports or road pickup preferences.
- Room-sharing pairs and single-room requests.
- Occasion, interests, preferred pace and accessibility needs.
- Budget per person and which costs it needs to cover.
Appoint a coordinator, keep decisions clear
One coordinator can gather preferences and circulate the same quote to everyone. Every traveller should understand their own payment and cancellation obligations. Do not assume the organiser is responsible for other people’s balances unless agreed in writing.
What if the group size changes?
Ask how fewer travellers affect vehicle costs, room sharing and any quoted group rate. Request clear terms for substitutions and cancellations. Do not promise a discount or free organiser place before it is confirmed.
Protect the important dates
Set an internal decision deadline earlier than the supplier deadline. Track who has accepted the quote and who has paid, while limiting access to personal documents. An interest list is not a confirmed passenger list.
